Exceleration Gymnastics Center

By-Laws

The official name of this organization is “Exceleration Gymnastics Center Booster Club.”  Additionally, “EGCBC,” “Booster Club,” and “CLUB” shall be accepted as referring to the Exceleration Gymnastics Center Booster Club.

Purpose

The purpose of the EGCBC shall be to provide support to the gymnasts who are members of the Exceleration Gymnastics Center’s Competitive Gymnastics Team.  This includes all team members’ levels 3-10.  The goals of this club shall be accomplished through annual dues and fundraising efforts of all members.

Membership

The owner of Exceleration Gymnastics Center, LLC is automatically a member of this Club.  Any parent or legal guardian of a gymnast of the Exceleration Gymnastics Center’s Competitive Team will automatically become a member of this Club.

Meetings

EGC and the EGCBC holds mandatory parent meetings as needed—in particular at the beginning of the competitive year. These meetings are extremely beneficial to parents because at this time meet schedules, uniform information, and fees are communicated and discussed.  We will also discuss fundraising opportunities to use to pay booster fees and talk about meet volunteer positions.  These meeting times will be announced in the gym on the team news board and also notices will be sent out by the Secretary via email. 

Officers and Elections

The officers of this organization (EGCBC) shall be: the owner of Exceleration Gymnastics Center, President, Vice President, Treasurer, Secretary, Meet Coordinator, Fundraising Coordinator, Historian/Publicist/Spirit Coordinator, Frogtown Chairman, and Acting Meet Director.  Any member shall be eligible to be nominated as an officer.  Elections will be held each May.  Officers of the booster club board will be compensated for these positions.  Officers shall be elected by a majority vote of the members in attendance at the time of the election.  The term of office shall be for one year.  Each officer will be eligible for re-election.  In the event an officer is unable to continue the responsibility of their office, an election notice shall be posted and an election shall take place at the next club meeting.  The newly elected officer will take the position immediately.

Duties of Exceleration Gymnastics Center Owner

The Owner of Exceleration Gymnastics Center, LLC will attend, or will send a representative on his/her behalf, to all EGCBC meetings.

Duties of the President

The President shall supervise as the chairperson at all board meetings of the organization (EGCBC).  The president shall appoint committees when needed.  The president shall also be responsible for making sure all members are aware of the Club bylaws.  This person must remain in contact with all booster officers and make sure that all obligations have been met.  This position will be given a reimbursement of booster fees in the amount of $150.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Vice President/Secretary

The Vice President shall help the President in any needed capacity.  This position will also be in charge of the Secretary position as well.  This position shall keep the records of the Club, including a current membership list and minutes of the Board meetings.  This position is also in charge of communications with all board members and general members.
This position will be given a reimbursement of booster fees in the amount of $100.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Treasurer

The Treasurer will be responsible for maintaining all financial accounts.  They will work with the owner to organize funds into individual accounts and keep track of the booster club budget and accounts as a whole. This position will be given a reimbursement of booster fees in the amount of $100.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Meet Coordinator

The Meet Coordinator shall be responsible for aiding the owner of Exceleration Gymnastics Center in all pre-meet efforts held or hosted by EGC.  This can include duties such as organizing volunteer sign ups for home meets, distribution of home meet advertisements to Region 5 gymnastics clubs, contacting gyms attending meets, etc.  The Meet Coordinator will also manage the registration of all team gymnasts for home and away meets.  This position will be given a reimbursement of booster fees in the amount of $200.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Fundraiser Coordinator

The Fundraising Coordinator shall be in charge of initiating and supervising fundraising efforts for all booster club members.  These fundraising opportunities for individual accounts are not mandatory.  Any money raised through fundraising efforts can be put in an individuals’ account, just as a normal monthly booster fee payment. This position will be given a reimbursement of booster fees in the amount of $100.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Historian/Publicist/Spirit Coordinator

This officer will be in charge of organizing and maintaining a permanent record or “scrapbook” of all meet results for all meets attended by EGC team gymnasts.  These results can be obtained from each level coach for each meet attended.  This record will be put on our website and the coordinator will use these results to create articles for publicity- local newspapers, etc.  As spirit coordinator this position will manage activities that will foster team spirit for EGC gymnasts and recommend “gifts” for gymnasts at each level for meets.
This position will be given a reimbursement of booster fees in the amount of $100.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Frogtown Chairman

We will also have a Frogtown Chairman and Frogtown Committee.   This position is responsible for overseeing the development and running of the Frogtown Invitational. The Chairman of this committee will head these efforts and coordinate all activities associated with hosting this meet.  The Frogtown Chairman will be considered an EGC Booster officer and will get compensated as such.  This person will be in charge of selecting people to be on the committee and overseeing their efforts. This position will be given a reimbursement of booster fees in the amount of $200.  This amount is to be distributed at the conclusion of the meet season.

Duties of the Acting Meet Director

This board member is responsible for managing and leading the operations at each of our hosted meets.  This is the person that is in charge of the actual meet schedule, making sure the meet is running smoothly and on time, and answering any questions that coaches, judges, or volunteers at our meets may have in regards to the operations at our meets.  In order to fulfill this position, this person must review for, take, and pass the USAG prepared meet director exam. This position will be given a reimbursement of booster fees in the amount of $150.  This amount is to be distributed at the conclusion of the meet season.

Duties of Level Representatives

These volunteer positions will not be considered officers of EGCBC.  A volunteer from each level is needed to help communicate and distribute meet information to all EGC team member families. 

Team Committment

Being a member of the team carries the responsibility to help support EGC-sponsored meets.  Every family must volunteer an individual to work a minimum of three sessions (shifts) at each EGC sponsored meet.  If each family cannot volunteer an individual to work three shifts, this family will not be eligible to receive their participation credit fees reimbursed to their accounts.

There are roughly 25-30 volunteer positions to be filled at each session of our meets.  If there are 4 sessions per meet, that is a minimum of 100 positions to be filled at each meet.  We will be hosting 3 meets…  This means that in order for our meets to run successfully, full cooperation by all EGC members is imperative!

Admission

All spectators are charged admission at home meets.  Exceleration Gymnastics Center gymnasts may attend home meets as spectators at no charge, but parents, families, and friends are still required to pay admission. Workers do not pay admission for the session that they are working.  **Parents who work at least one 4 hour session or help with setup prior to their child competing will be admitted “free” to their child’s session.

Work Sessions

A work session lasts approximately four (4) hours, but varies according to job, size of meet, and other various factors. EGCBC asks that you complete each work session in its entirety. The jobs require the willingness to contribute your time to ensure the success of the meets.

Work Session Sign Up

The meet coordinator will distribute sign-up sheets prior to the meets. Once you have signed up to work a particular session, you are responsible for working that session. If you are unable to do so, you must find a replacement to work for you or your participation fees will become non-refundable.  It is your responsibility to notify the meet coordinator of your absence.

Explanation of Booster Fees

EGCBC will require each member to pay a monthly booster fee starting in August of each year.  This booster fee, which will go into each member’s individual account, is different for each competitive level. This fee will be used to cover the following expenses:

  • Team Fees
  • Coaches Reimbursements (Payment for each session coached, travel expenses- gas, hotel, tolls)
  • Coaches Credentials (USAG membership, safety certifications, background checks- all needed for a coach to attend meets)
  • “Catch all Fund” (Banquet expenses, reimbursement for board members, administrative fee)
  • Participation Credit- This portion of the booster fee will be reimbursed to each member if booster meetings have been attended and meet volunteer obligations have been met.

These fees may be met either by money earned through fundraising efforts or simply by writing a check.

*Please note that individual meet fees are not included in this booster fee.  Once the meet schedule has been finalized, each member will receive the schedule along with deadlines to turn in individual meet fees.  As explained in the team handbook, this meet fee is the cost for a gymnast to participate at each USAG sanctioned meet.

**All of these fees are based on what meets we decide to go to as a gym.  We will have a meeting in July to discuss options for meets for the upcoming season.  A finalized meet schedule and fees will be handed out after this meeting.

Amendments to the Booster Club Bylaws

The EGCBC bylaws may be amended by the Booster Club Board.  Changes will be presented at the next parent meeting.

Leaving the Booster Club

In the event that a gymnast leaves the team, her individual account balance will be forfeited over to the EGCBC.  If there are any outstanding fees due to the booster club, they will be due (30) thirty days after leaving the Club.  Special circumstances may be considered for reimbursement of a % of funds if in good financial standing with the Booster Club and EGC.
